Built in a real clinic, running every day

Your treatment board runs itself.

VetFlow reads your practice management system and checks patients in, assigns the right doctor and nurse to the right room, builds each visit's checklist, and discharges them when the visit closes — with no one clicking anything.

  • No double entry into a second system
  • Priced per location, never per seat
  • Sits on top of your PIMS — no migration

Why practices switch

Legacy treatment boards ask your team to maintain a second copy of the day by hand. VetFlow reads the copy you already keep.

Getting a patient on the board

A staff member re-types the appointment into a second system
Read from the schedule you already keep, and placed automatically

What it costs to add people

Per-seat or per-device licences — the more staff, the higher the bill
One flat price per location. Every nurse, doctor and receptionist included

Room and nurse assignments

Whiteboard, walkie-talkie, or asking around mid-shift
One 60-second shift setup drives every placement for the rest of the day

Visit checklists

Built by hand, per patient, per visit
The six standard steps appear the moment the patient does

Asking for help in a room

Shout, text, or walk the floor looking for someone
One tap flags the room and the whole team sees and hears it

Doing something quickly

Click through screens to find the right field
Say it or type it in plain English and Hannah does it

The front desk work, done for you

VetFlow is not another place to type things. It watches the schedule you already keep and turns it into a board your team can actually run the day from.

Automatic check-in

Appointments become occupied rooms on their own — doctor, nurse and room resolved from your shift setup. Drop-offs route to drop-off slots instead of taking an exam room.

Live treatment board

One screen the whole team reads: who is in which room, how long they have been there, and what is left to do. A TV mode for the wall display included.

Visit checklists

Every patient arrives with the standard workflow already built — history, exam, estimate, treatments, meds, checkout — claimable in one tap.

Help calls & alerts

A nurse flags a room and the whole team hears it. Per-patient alerts follow the patient and can be cleared from anywhere.

Hannah, your AI assistant

Speak or type plain English — "discharge everyone in the drop-offs", "move Bella to Xena with Dr. Alam" — and it happens across the board.

Built for groups

Every record is scoped to its own clinic. Run one practice or twenty, each with its own board, staff and sync health.

How it works

Four steps, and only two of them happen more than once.

1

Install the browser bridge

On the one host computer that keeps your scheduler open. We walk you through it on the call — it's a Chrome extension, not an IT project.

2

Fill in the shift setup

Each doctor, their nurses, and which room and appointment slot each nurse covers. It takes about a minute, morning and afternoon.

3

Run your schedule as usual

Patients appear on the board as they arrive, in the right room with the right nurse, each with their checklist already built. Drop-offs go to drop-off slots.

4

Run the floor from the board

Claim tasks in a tap, flag a room for help, message the floor, or just tell Hannah what you need. Discharge happens on its own when the visit closes.

VetFlow was built inside a working clinic, on the floor, in response to the actual bottlenecks of a full appointment day — then hardened across an entire multi-practice group.

It has been running live in daily patient care since its first build, through every schedule surge, staffing change and turnover day.

Questions we get asked

Does VetFlow replace our practice management system?

No, and it isn't trying to. Your PIMS stays the medical and financial record. VetFlow sits on top of its scheduler and turns the day into a live floor board — so nobody is re-typing appointments into a second system.

Does it push billing line items back to our invoices?

No. VetFlow deliberately doesn't write to your PIMS — it reads the schedule and leaves your records alone. Charges are still captured in your PIMS the way they are today. What you get here is speed, communication and automation on the floor, not a billing sync.

How hard is the browser extension to install?

It only goes on the host computer that keeps your scheduler open, and it takes a few minutes with us on a call — a Chrome extension you load once, plus keeping that scheduler tab open during the day. No servers, no PIMS credentials, no vendor approval needed.

Can we put this on TVs in the treatment area?

Yes — TV wall mode is built for exactly that. The board scales itself to the screen, highlights the patients that need attention, and shows visit timers with long visits flagged. Any browser-capable TV or a small media stick works.

Which practice management systems do you support?

We have built-in adapters for ezyVet, Cornerstone, Avimark, Shepherd, Impromed and Pulse, plus a configurable option for other systems and the browser bridge for schedulers with no open API. If yours is not listed, tell us on the demo call.

What does it cost as we add staff?

Nothing. Pricing is per location, per month — every doctor, nurse and receptionist at that location is included, on as many screens as you want.

See it on a real schedule

Tell us a little about your practice and we'll walk you through the board, the automatic check-in, and what connecting your system involves.

No obligation — we'll show you the board running on a real schedule.
